Gear Rental Policies and Procedure
I. Rental Periods and ProcedureGear will be rented for a period of one week, to be rented out and returned at weekly meetings. Gear must be returned clean, dry, and unbroken. Items that are dirty or broken will not be accepted and must be cleaned and/or repaired by the renter, and a late fee will be charged for the time it takes for the gear to be returned in its original condition.
Gear is available to members on a first-come, first-served basis. You must be a member of Penn Outdoors to rent gear. It may be reserved up to 4 weeks in advance for sanctioned UPOC trips and up to 2 weeks in advance for members. Requests for gear may also be made at the meeting at which the renter wishes to pick the gear up. Gear requests will be directed to the gear manager.
Each renter is permitted to rent enough gear for two people only. For example, this might include one tent, two sleeping bags, and one stove and cook set. This insures that a single individual takes responsibility for the safe use and return of the gear so that it is available for future renters. On trips sanctioned by UPOC and led by UPOC trip leaders, leaders may check out the gear that will be used by their entire group, and the group assumes responsibility for this gear. If something is returned late or broken, the group will split the cost of whatever fees are applied. This applies only to gear that is used by the group. Individual gear, like backpacks and sleeping bags, must be checked out by the individual using them and that person assumes responsibility for his/her own gear.
II. Deposit and Costs: All gear is available to members of Penn Outdoors in good standing free of cost. Upon rental of gear, we request a deposit check for the full value of the gear which you are renting. This check will be destroyed when the gear is returned clean, dry, and unbroken. A deposit check may be kept on file for those who wish to rent on a frequent basis.
III. Fees and Penalties: Late fees of $10 per week will be assessed for gear not returned on time. Until late fees are paid, one may not rent another piece of equipment from Penn Outdoors. Any item late by four weeks will be considered lost or stolen and the renter’s deposit check will be cashed. Items not returned in their entirety will also be considered lost and a replacement fee will be charged. For example, a tent must be returned with the rain fly and all its stakes and poles to avoid this charge. The charge will vary depending on what must be replaced.
If gear is found to be dirty and/or broken after the item is returned, cleaning and/or repairing fees will be charged. The minimum repair/cleaning fee is $10 and may be increased depending on the extent of the cleaning or repairs necessary.
IV. Safety: It is the renter’s responsibility to understand how to use any rented gear properly and to understand the limitations of the gear and people using that gear. UPOC is not responsible for any injuries sustained by the user while using rented gear. By renting gear, each individual is acknowledging this agreement.
